Job Description

Main purpose / objective of the position:Reporting to the Marketing Manager, the Marketing Assistant is responsible for managing all the daily activities of and providing sound administrative support to the Marketing Department.Decision making authority:Required to choose from a limited array of routines or rules at his / her disposal. Works according to specific standard procedures.Experience / Education:Relevant Marketing qualification. A minimum of 2 years’ experience preferential.Skills required:Have a clear and thorough knowledge of marketing principlesPreferably have Centre retail marketing experience (but not essential)Understand and have experience in dealing with related fields – advertising, PR, on line, social media, media in general, events and promotionsMust have attention to detail and excellent admin skills.Must have an excellent command of English – verbal & written.Must be able to work under pressure and adhere to time lines.Monitors progress toward objectives and adjusts plans as necessary to reach themIdentifies needs/problems, secures relevant information, relates data from differentExcellent computer and administration skillsFlexible and adaptable approach to workPersonal Attributes:Must be mature – work objectively and not subjectivelyMust be passionate, gregarious and optimisticConfidentPro-active approachPrincipled – Do the right thing alwaysTeamwork and work towards a common purposeOpen and clear communicatorInnovative with the ability to use initiativeSolutions drivenMethodical with keen attention to detailDuties:General office administration and coordination.Gift card administration and support.Public and tenant relationsMarketing coordinationEvents – planning, set-up, coordination and reportingMonitor exhibitors (to conform to required standards).Manages and maintains relationships with tenants.Prepares and quality control of marketing reportingFinancial administration – supplier invoices and statements to be processed for paymentsOversees and generate briefs to agencies / promotional companies.Approves creative work and schedules of agencies / promotional companies.Attends to queries / complaints that were escalated to this level.Ensures cooperation, synergy and effective communication between marketing and other departmentsPursue relevant strategic alliances and sponsorship opportunitiesAssistance & quality control of newsletter to tenants.Write and evaluate of press releases.Ongoing liaison with center management (CM).Keeps clients and colleagues informed of important incidents progress, plans, feedback, etc.Create realistic expectations and meet them: appointments, promises, follow-up, queriesNetworking, attending functions and meetings to raise awareness in the industry.Deliverables:Assist Marketing Manager as required by taking on tasks and responsibilitiesFiles documents and prepares status reports when and as requiredEffects correspondence by writing letters and generating documentsExecute / implement events and attend eventsManage, administrate and oversee centre exhibition spaces for NGO’s and community eventsManage in-centre marketing opportunitiesManage centre marketing collateral and corporate gifts;Manage centre marketing touch points dailyData capturing, PR assistance, general tenant communication assistanceSocial Media content creation and reporting as requiredControl of blank gift card stock to and from info staff on a daily basisDaily checking of completed gift card control sheetsSigned checked control sheets emailed on a daily basis to National Gift Card ManagerPreparing corporate gift card invoices and preparing the order with holders on a daily basis when requiredHanding up of corporate orders to corporates as instructed by corporate sales managerMonitoring the stationery requirements of the info desk and ordering where requiredMonitoring the G4S consumable stock control and ordering where requiredMonthly process gift card stock, incl. monitoring of inventory levelsEmail communication with Tutuka for all voucher express related correspondenceThe liaison between tenant and/or shopper for Tutuka related queriesAssisting at info desk during lunch breaks or as requiredMonitoring of info desk appearanceAssist tenants with requirements wrt marketing materialSetting up of venue for tenant functions, meetings, etc.Collate and distribute tenant communicationLiaising with tenants wrt newsletterImplements and reports on a structured tenant communication plan (including visits, proposals, general interaction, tenant meetings and other).Marketing reports were accurate, complete, on time and in agreed format.Problems / queries escalated to this level are dealt with effectively, to the satisfaction of the client where practically possible.Effective cooperation between own and other departments achieved and maintained.
