About the Role

We are looking for an experienced and professional Executive Assistant to provide top-level administrative support to senior executives, investment professionals, and their teams. This is a 6-month contract position in the Northern Suburbs of Cape Town. It is perfect for an organized, proactive, and tech-savvy person who enjoys a fast-paced work environment.

Key Responsibilities

You will ensure smooth operations and excellent support for senior team members. Your main tasks will include:

  • Managing complex schedules, appointments, and calendars for senior executives and teams.
  • Coordinating calls with clients, deals, experts, and portfolios, including preparing all necessary documents.
  • Handling meeting logistics, such as setting up video conferences, booking rooms, and making related arrangements.
  • Organizing travel plans (flights, hotels, transfers, visas) according to company policies, and working with travel partners and other assistants as needed.
  • Preparing and submitting expense reports and tracking approved costs.
  • Providing support outside regular hours for team members traveling across different time zones.
  • Helping and covering for other executive assistants in the firm when required.
  • Maintaining and updating CRM systems (like Salesforce) and document storage (like Egnyte).
  • Assisting with team events, webinars, and client gatherings, including finding venues and making bookings.
  • Contributing to special projects and providing ongoing operational support.

Job Requirements

Qualifications and Experience

  • Grade 12.
  • National Diploma or Bachelor’s Degree in Business Administration, Office Management, or a related field.
  • At least 8 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior executives or leadership teams.
  • Advanced skills in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong knowledge of virtual collaboration tools (Teams, Zoom, etc.).
  • Experience with CRM systems (Salesforce or similar) and document management tools (like Egnyte) is preferred.
  • Background in financial services, investment, or professional services is an advantage.

Key Attributes

  • Language and Communication: Native or near-native English skills; able to write and communicate at a C-suite level with clarity and care.
  • Tech Skills: Advanced user of MS Office (Word, Excel, PowerPoint, Outlook) and virtual meeting tools (Zoom, Teams). Knowledge of Salesforce or similar CRM is a plus.
