Job Overview:
This role is responsible for setting up and maintaining an active, ongoing program for managing the company’s archives, records, and electronic records in a cost-effective and efficient way. This must follow all statutory and regulatory requirements. The position includes ensuring legal compliance across the entire group, as well as handling governance, policy ownership, and training duties. It also involves managing group risks and making sure information is digitally accessible.
Key Responsibilities:
- Identify and collect materials that have historical importance.
- Assess the value of records to decide if they should be kept or disposed of.
- Organize and describe records using standard archival methods.
- Protect materials for the long term through proper storage and conservation methods.
- Make materials available to researchers and the public, including creating finding aids and online access options.
- Support researchers who use the archives.
- Keep the archive storage area well-maintained to prevent damage from the environment.
- Provide training to selected Business Unit (BU) Record Officers.
- Update the Document Retention and Archive Policy based on current legislation.
- Enter archive records into the Archive intranet portal.
- Digitize archive records chosen for permanent preservation.
- Upload the digitized records to the Archive intranet portal.
- Guide Telkom employees on how to transfer records to the archive.
- Write appraisal reports for each archive group.
- Organize document destruction and file the destruction certificate.
- Manage archive risk controls in Telkom’s Governance, Risk, and Compliance (GRC) system.
- Prepare and keep an up-to-date Group Archive policy and guidelines.
- Manage contract workers in the Telkom Group archive.
- Ensure the archive complies with all relevant laws, including creating a file plan, working with regulatory bodies, and maintaining the right archiving environment.
- Comply with key laws and regulations such as the National Archives and Records Service of South Africa Act (Act No. 43 of 1996), Promotion of Access to Information Act (PAIA, Act No. 2 of 2000), Protection of Personal Information Act (POPIA, Act No. 4 of 2013), and Electronic Communications & Transactions Act (ECTA, Act No. 25 of 2002).
