Post 39/64: Records Clerk: Information and Management (Ref No: S067/2025) – 2 Posts

Division: Corporate Services (CS)

Purpose: To update and maintain the records management systems for all records and file movements. To handle information with complete confidentiality.

Salary: R228 321 per annum (excluding benefits)

Location: Pretoria

Requirements: You need a Grade 12 certificate and a certification in Office Administration. You should have at least 1 year of experience in office administration or a similar environment. Knowledge and experience with MS Office are essential. You must be able and willing to do physical tasks.

Duties:

  • Provide registry services to sub-registries: Open new files and volumes when needed. Retrieve files and check them out to clients. Receive returned files, update the records database, and store them properly. Clean up operational areas to ensure all files are returned to the registry.
  • Provide bulk scanning and indexing services to all divisions: Update the file scanning register. Prepare files before and after scanning. Scan the files. Convert them to searchable PDF format. Upload files to the Electronic Document Management System. Index files with the required metadata.
  • Handle disposal of files: Work with the Records Manager to identify files for disposal. Prepare a list of files due for disposal. Once approved, move the files to the disposal area.
  • Control access to records stores: Keep storeroom keys safe. Oversee cleaning of all records storage areas. Supervise pest control services. Manage who can access the records stores.

Post 39/63: Transversal Contracting Support Officer (Ref No: S076/2025) – 2 Posts

Requirements: You need a Grade 12 certificate. A post-school qualification in Supply Chain Management, Logistics, Business, Management, or Financial Management would be an advantage. You should have at least 2 years of experience in Supply Chain Management or Financial Management. Knowledge of the Public Finance Management Act (PFMA), Treasury Regulations, SCM Policies, and related rules is important.

Duties:

  • Tender Support: Number all tender documents. Manage the tender closing process for the National Treasury, following strict timelines. Retrieve electronic bids from the E-Tender Portal. Prepare address lists for tender documents. Ensure timely advertising of bids on E-Tender. Help arrange and attend Bid Specification Committee and Bid Evaluation Committee meetings. Advise the public and potential bidders on tender queries. Attend to the tender box on closing dates when needed.
  • Administration: Receive, record, and distribute all incoming and outgoing documents. Arrange meetings and ensure document submission deadlines are met. Help manage enquiries for the office. Handle confidential documents and issues with care. Respond to clients on general bid and contract questions. File and manage all unit paperwork.

Division: Office of the Director-General (ODG)

Purpose: To help carry out Regularity Audits for the National Treasury (NT), Independent Regulatory Board for Auditors (IRBA), Accounting Standards Board (ASB), and Government Technical Advisory Centre (GTAC) as per the Audit Plan.

Salary: R397 116 per annum (excluding benefits)

Location: Pretoria

Requirements: You need a Grade 12 certificate and at least a National Diploma (NQF level 6) or Bachelor’s degree (NQF level 7) in Internal Auditing or Accounting. You should have at least 2 years of experience in internal audit. Knowledge of Regularity Audit basics and principles is required. Understanding of processes and procedures is essential.

Duties:

  • Assist with project planning: Keep records of client engagements. Gather relevant data for future use.
  • Transactional document information and flow: Help with financial and management information flows, following internal audit policies. Identify and plan auditable processes in the National Treasury. Keep records of information for later use.
  • Identify risks and controls and start audit testing: Help analyze risk-mitigated processes. Identify system controls and suggest fixes. Give initial feedback on the execution plan. Update the risk register. Perform audit tests from the risk register. Record test results.
  • Evaluate testing results, build a strong control environment, and help prepare draft reports: Check working papers against auditing standards. Suggest improvements for processes and procedures. Help compile draft reports with recommendations. Follow up on unresolved audits.
  • Knowledge management: Update manuals and electronic files according to National Treasury policies.
