Job Description:

This role supports Wealth Advisers by handling reliable office administration and client services. You will focus on providing excellent after-sales support to customers, helping to build strong ongoing relationships. The goal is to deliver high-quality service that encourages customer loyalty and referrals, following our practice’s service model and procedures.

Minimum Requirements:

  • Matric certificate
  • Basic computer skills
  • Fluent in English and Afrikaans to interact with clients
  • Good business writing skills and a service-focused mindset
  • Strong client relationship management and office administration abilities

Responsibilities:

Personal Assistant Duties:

You will assist Wealth Advisers with general tasks, including but not limited to:

Monthly Distributions (on the 1st of each month):

  • Birthday reminders
  • Review reports
  • Re-compliance lists
  • Income reviews
  • Merge report lists
  • Section 14 reviews
  • Income shortfalls
  • Weekly feedback reports
  • Update and maintain the CRM system (client details, merging records, linking family members, and updating with all service providers)
  • Track myPractice statistics; run monthly merge reports and handle required re-compliances
  • Stay current with myPractice updates, system changes, or developments
  • Watch weekly training videos to remain informed
  • Keep up to date with various product provider websites
  • Follow any other reasonable instructions from the adviser

To-Do List Management:

  • Maintain a to-do list for all adviser instructions
  • Send a weekly progress report to the adviser every Monday
  • Take responsibility for following up and finalizing any emails where you are CC’d by the adviser
  • Follow up on instructions sent to product providers within their service level agreements; ensure completion and notify the adviser
  • Prioritize urgent cases and follow up every 24 hours until resolved
  • Support client service levels and maintain clear feedback loops

Daily Expectations:

  • Complete all forms accurately and thoroughly
  • Enter all client details correctly in myPractice
