Purpose of the Role

To prepare, capture, and number all tender documents for publication on the system, and handle all documents with the utmost discretion.

Qualifications and Requirements

  • A Grade 12 certificate is required. A post-school qualification in Supply Chain Management, Logistics, Business Management, or Financial Management would be an added advantage.
  • A minimum of 2 years’ experience in a Supply Chain Management or Financial Management environment.
  • Knowledge of the Public Finance Management Act (PFMA), Treasury Regulations, Supply Chain Management (SCM) policies, and related prescripts.

Key Performance Areas

Tender Support:

  • Ensure all tender documents are numbered.
  • Manage the tender closing process for the National Treasury according to strict time frames.
  • Retrieve electronic bids from the e-Tender Portal.
  • Prepare the address list for tender documents.
  • Ensure timely advertising of bids received on the e-Tender Portal.
  • Assist with arranging and attending Bid Specification Committee and Bid Evaluation Committee meetings.
  • Advise the public and prospective bidders on tender-related queries.
  • Attend to the tender box on the closing date where necessary.

Administration:

  • Receive, record, and distribute all incoming and outgoing documents.
  • Arrange meetings and ensure deadlines for document submission are met.
  • Assist with enquiry management in the office.
  • Handle confidential documents and issues with the utmost discretion.
  • Respond to clients regarding general bid and contract queries.
  • File and manage the paperwork of the unit.
