Purpose of Job
- Provide administrative and secretarial services to the team, and handle general departmental operations.
- Help ensure the team runs smoothly through strong administration.
- Offer high-level support that improves the work of managers and the team.
Key Accountabilities
- Handle daily operational and administrative tasks to support the team.
- Schedule meetings, prepare agendas, and take accurate minutes.
- Manage managers’ diaries to help their workflow.
- Help prepare and compile submissions.
- Prepare and share approved reports and updates on time, and enter them into the reporting system.
- Make sure all documents look professional, have no errors, and follow format and branding rules.
- Keep the distribution list current to help colleagues share reports correctly.
- Act as a resource for the team on word processing, PowerPoint, and spreadsheets.
- Create correspondence and documents, and maintain presentations, records, spreadsheets, and databases.
- Arrange travel and accommodation for the department, both local and international.
- Organize in-house and external events like conferences and meetings.
- Log IT and operational issues for the team and follow up to resolve them.
- Answer phone calls, take messages, and respond to inquiries within your role.
- Set up an efficient filing system to store and share departmental records accurately.
- Complete forms according to company procedures.
- Track office supplies and purchase new items while staying within budget.
- Manage schedules for buying, receiving, sending, and delivering goods and services.
- Process purchase requests and invoices, and follow up on payments.
Formal Education
- High School Diploma or equivalent
