Role Outline

A Supervisor/Admin provides effective administrative support to operations. This role ensures all records are accurate and documentation is properly maintained. It also involves controlling and coordinating distribution and warehouse processes in the Distribution Centre. The goal is to plan and organize resources to meet customer needs while exceeding service levels.

Key Responsibilities

  • Work with managers to monitor and develop team members.
  • Provide leadership and manage the DHL logistics depot.
  • Control and use resources efficiently to deliver excellent service at the lowest cost.
  • Ensure the integrity of client warehouse stocks.
  • Follow Good Distribution Practice Guidelines, as well as MCC and SAPC requirements.
  • Update and share operational reports.
  • Implement and update systems and procedures for business control and security.
  • Participate in stock takes and cycle counts.
  • Handle ad hoc duties as needed to support business requirements.
  • Manage daily shift operations, including customer planning needs.
  • Meet or exceed operational service levels and control labor costs.
  • Build and develop a positive team culture.
  • Deliver key performance indicators (KPIs).
  • Handle HR issues, including industrial relations.
  • Support organizational changes to drive business success.
  • Oversee quality control and compliance with standard operating procedures.
  • Monitor stock counts, including planning, preparation, and physical counting.
  • Focus on team building and morale to maximize accuracy, productivity, and space utilization.
  • Complete daily and weekly workload planning and volume forecasting.
  • Lead and manage operational and administrative teams effectively.
  • Manage human resources, including staffing levels, performance, training, development, productivity, recruitment, and retention.
  • Ensure compliance with statutory and company policies, including health and safety, employment equity, labor relations, and environmental issues.
  • Handle pallets and documents correctly.
  • Maintain accurate customer records as hard copies.
  • Compile daily delivery reports for clients.
  • Manage all cycle counts and stock takes.
  • Verify loaded pallets after checking.
  • Organize and collect department stationery, and submit weekly consumable counts.
  • Check that loads are stored correctly by RT operators.
  • Verify and ensure accurate proof of deliveries (PODs) and pallet slips before signoff.
  • Build relationships across the supply chain, such as with outbound clerks, haulers, customers, depots, and customer service teams.
  • Promote awareness of ISO 9001, ISO 22716, ISO 13485, and regulatory requirements for the Quality Management System (QMS).
  • Manage full SAP movements for raw materials (RM) for clients.
  • Maintain operational systems and requirements.
  • Ensure accurate stock checks with no shortages or excesses.
  • Support safety initiatives and handle customer-related safety incidents.
  • Keep a safe and tidy work environment by implementing 5S principles.

Qualifications / Skills / Competencies / Experience

  • Matric certificate.
  • Relevant degree or qualification (preferred).
  • 3-4 years of administration experience.
  • 5-6 years of supervisory experience.
