About the Role

We are looking for a friendly and organized Receptionist / Office Administrator to join our Finance Department at Henning Block. The role starts immediately and will support the front‑line reception and the Finance team.

Key Responsibilities

  • Run the Henning Block reception efficiently, providing professional, prompt, and courteous service.
  • Answer phone calls and respond to general queries from staff, parents, students, and service providers.
  • Handle administrative tasks such as filing (paper and electronic), email correspondence, sorting and distributing internal mail, accepting deliveries, organising meetings, taking minutes, and other ad‑hoc requests.
  • Support the Finance department in day‑to‑day operations.
  • Manage the credit enquiry process for prospective families, applying college policies and procedures.
  • Assist with parent portal queries.
  • Perform debtor‑related duties, including overflow debt collection as directed by the Debtor’s Manager.
  • Enter purchase orders and invoices into the e‑procurement system and onboard new vendors.
  • Provide secretarial support to the Deputy Head and Finance Management team, including diary management, scheduling meetings, and booking rooms or venues.
  • Supervise support staff.

Requirements

  • National Certificate in a related field or equivalent.
  • 3–5 years of experience in reception and office administration, preferably in a customer‑service environment.
  • Strong computer skills – Outlook, MS Word, and MS Excel.
  • Excellent communication and people skills with a professional telephone manner.
  • Ability to interact professionally and respectfully with parents, staff, and the wider St Stithians community.
  • Strong organisational skills and the ability to prioritise multiple tasks under pressure.
  • Self‑motivated, confident, and able to work independently.
  • Customer‑focused with strong problem‑solving abilities.
  • Demonstrated punctuality, integrity, and dependability.
  • Capacity to work autonomously with minimal supervision.
  • Clear credit record.
  • All staff must hold a sexual offender and criminal clearance certificate.
  • Willingness to work within the Christian ethos and mission of the College and participate in school life.
