We are looking for a highly organized and proactive Senior Executive Assistant to support the CEO and executive team with administrative and operational tasks. This role is key to keeping daily operations smooth across multiple business units. You will manage complex schedules, coordinate tasks across teams, supervise remote team members’ work, and handle both business and personal duties with care and discretion. As the main contact for the CEO, you will help manage their workload, ensure tasks are completed, and allow time for strategic focus.
Key Responsibilities:
Executive and Operational Support:
- Manage calendars and agendas for the CEO and leaders of six subsidiary companies, including scheduling, confirming, and rescheduling meetings with accurate links.
- Attend meetings with the CEO, take notes, and send action lists or task summaries to the team afterward.
- Monitor emails and follow up on unanswered messages to ensure timely replies and task progress.
- Review and prepare documents, presentations, and basic designs when required.
- Give regular updates to the CEO and communicate clearly about all tasks and priorities.
Team Coordination:
- Serve as the main link between the CEO and other virtual assistants, ensuring timely submission of payroll details like timesheets and invoices.
- Gather information from assistants and prepare it for the CEO to process payments.
- Work with internal teams and external partners to share instructions and priorities clearly.
Administrative & Personal Tasks:
- Handle tasks such as opening bank accounts, preparing documents for visa applications, and managing renewals for property, vehicle, and health insurance.
- Process personal purchases, track expenses, and coordinate household and office services like AC maintenance, pest control, and grocery scheduling.
- Work with the executive driver for pick-ups, deliveries, and transportation needs.
Logistics & Recruitment:
- Manage international shipments, including furniture orders and freight forwarding.
- Help with recruitment by sourcing candidates, setting up interviews, and onboarding new hires from overseas.
Required Qualifications:
- At least 5 years of experience as an Executive Assistant or in a similar role.
- Strong skills in organization and project coordination.
- Excellent verbal and written communication.
- High integrity, initiative, and attention to detail.
- Ability to prioritize tasks, meet deadlines, and handle confidential information.
- Comfortable in a fast-paced, dynamic environment.
- Familiar with remote work and productivity tools.
