Role Overview
The primary responsibility of the Administrative Assistant (Document Services) is to manage and maintain an efficient and effective document management system. This includes handling all aspects of incoming and outgoing correspondence, as well as ensuring that various administrative tasks are completed in a timely and accurate manner.
Key Responsibilities:
- Mail and Correspondence Management:
- Receive and process incoming mail, ensuring proper registration, stamping, and sorting.
- Coordinate the scanning and filing of documents according to established procedures.
- Prepare and dispatch outgoing mail, ensuring it is correctly priced, franked, and documented.
- Handle bulk mailing preparation and ensure proper tracking of registered mail.
- Maintain accurate records of all mail transactions, including registered mail and Docex Tracker mail.
- Document Scanning and Indexing:
- Perform scanning, indexing, and archiving of various documents, ensuring they are properly sorted and categorized.
- Ensure all scanned documents are indexed and uploaded to SharePoint for easy access.
- Process writs and summons, ensuring proper registration and follow-up with attorneys if needed.
- Banking Indemnity Form (BIF) Processing:
- Verify and capture details from BIFs, ensuring accuracy and compliance with organizational policies.
- Liaise with internal stakeholders and ensure timely processing of claimants’ and suppliers’ payments.
- Adhere to prescribed timeframes to minimize fraud risk and ensure regulatory compliance.
- Maintenance of Infrastructure and Equipment:
- Report any issues related to mailroom equipment or machinery, ensuring they are serviced and maintained in working order.
- Oversee the upkeep of the franking machine and ensure the correct loading of funds.
- Assist with retrieving documents from SharePoint or MOSS when needed and report any technical issues to management.

Required Qualifications & Experience:
- Minimum Education:
- NQF Level 4 (Matric or Grade 12) qualification.
- Work Experience:
- At least 1 year of experience in an administrative role or a similar environment.
