About the Role
The Results Administrator will support the Emeris Results Centre at the Cape Town City Campus. The role involves managing student results, coordinating with lecturers, admissions, finance and other departments, and ensuring accurate and timely processing of all assessment data.
Key Responsibilities
- SIS System Set‑Up & Semester Planning
- Map students to assessment events per module, intake year and assessment event.
- Coordinate with Admission Officers to unmap cancelled students or map added modules.
- Create a Results Tracker using the National Assessment Schedule and update it throughout the semester.
- Run the detainment job per module and intake year once formative results are captured.
- Results Capture Sheets (RCS)
- Create manual RCS for replacement tests, exam sittings and discontinuation exams.
- Generate separate RCS for NQP registered students.
- Update RCS when marks change (lecturer amendments, plagiarism, remarks).
- Sign, date and file RCS electronically for audit purposes.
- Formative Results Management
- Verify results on scripts or Learn Grade Centre against SIS entries.
- Publish all results on SIS following the Assessment Strategy and policy.
- Maintain the Results Tracker to meet marking deadlines.
- Escalate late marking to Programme Manager or senior staff.
- Coordinate with Admissions and Finance on unregistered students.
- Respond to Customer Relations Officers (CROs) on result queries.
- Ensure ICE results are captured correctly and released on time.
- Update plagiarism tracker and inform Assessment Officers of changes.
- Check concessions on the Student Hub and liaise with the Assessment Centre.
- Summative Results Management
- Verify summative results on scripts or Learn Grade Centre against SIS.
- Publish all summative results on SIS.
- Maintain the Results Tracker for summative release dates.
- Escalate late marking and identify at‑risk lecturers.
- Manage additional summative sittings (supplementary, discontinuation, special).
- Respond to CROs on summative queries.
- Coordinate with Capacity Planning & Scheduling Centre on lecturer resignations.
- Process endorsements using Admission trackers and SLP results.
- Compile ES2, ES3 and discontinuation billing lists for Finance.
- Generate and publish report cards and transcripts, including re‑generation after mark changes.
- Verify scripts against mark sheets for the Online Centre and submit for processing.
- Identify and resolve system issues that affect result processing.
- Moderation (External & Internal)
- Assist Programme Manager or Teaching and Learning Manager with internal moderation.
- Populate the External Moderation Tracking Grid and identify shared lecturers.
- Scan and upload scripts to the moderation tracking system.
- Complete the Moderation Control Sheet (MCS) for each external moderation.
- Ensure MCS and scripts/POEs are assigned to the correct Central Academic Team member.
- Script Viewing & Remarks
- Coordinate script viewing requests from the Student Hub.
- Arrange collection and signing of scripts before viewing appointments.
- Coordinate re‑mark requests, verify payment, and track on the Campus Remark Tracker.
- Ensure correct outcomes are applied after remarks.
- Flag marking discrepancies to Programme Manager or Head Academic.
- Metro File & Secure Storage
- Archive summative scripts and POEs for on‑site and off‑site storage.
- Label metro file boxes and complete the storage form.
- Arrange metro file collection and maintain the Secure Online Storage Facility.
- Team Support & General
- Assist with campus projects and events (e.g., Graduation, Open Day).
- Collaborate with all departments to ensure a high‑quality student experience.
- Comply with POPIA legislation relevant to the Results Centre.

Qualifications
Minimum Education: National Diploma/Advanced Certificate (NQF Level 6). Advanced Diploma or Degree is advantageous.
Minimum Experience: 2 years of administrative experience.
Working Hours
Monday to Friday: 08:00 – 17:00
