- We are hiring a Remote Office Manager for a small, owner-operated business in the home services industry (roofing). This is a full-time remote role for an Australia-based client. The position focuses on managing the full client journey, including handling inbound calls, scheduling, updating CRM systems, and providing administrative and bookkeeping support.
Key Responsibilities:
- Handle and sort 10-15 inbound calls daily; offer great customer service and direct or solve inquiries.
- Manage calendars; schedule site visits, inspections, and follow-ups.
- Keep accurate records in CRM platforms (like job statuses, notes, and tasks).
- Work with the bookkeeper; help with Xero tasks such as basic reconciliations and invoicing.
- Prepare and send simple quotes or documents as needed.
- Update and improve standard operating procedures (SOPs), templates, and admin documents.
- Do data entry, manage inboxes, and create basic reports.
- Confirm appointments and collect client information to ensure smooth operations.
Required Qualifications:
- 3+ years in office administration, office management, or executive assistant roles.
- 2+ years in trades, home services, or construction industry.
- Proven skills in handling inbound calls and customer inquiries.
- Strong skills in scheduling, calendar management, and coordination.
- Experience supporting bookkeeping; knowledge of Xero is required.
Preferred Qualifications:
- 2+ years with Service M8 and Xero.
- 2+ years with GoHighLevel (GHL) or similar CRM tools.
