Job Purpose
The receptionist is the first point of contact for clients and visitors. You will create a positive first impression and support smooth administrative operations within the company.
Key Responsibilities
- Assist with filing, data entry, and document preparation.
- Receive and sort mail and deliveries.
- Monitor and maintain office supplies inventory.
- Answer telephone calls, screen and direct them, take and relay messages.
- Provide information to callers and greet visitors.
- Direct visitors to the correct destination and manage visitor access.
- Maintain the reception area tidy and presentable.
- Schedule appointments and maintain an appointment diary.
- Organise conference and meeting room bookings and coordinate catering.
- Monitor and maintain office equipment and control inventory relevant to the reception area.
- Support general administrative and clerical tasks as required.
Requirements
- Matric (high school diploma).
- 2–3 years of receptionist experience.
- 1–3 years of industry experience.
Knowledge & Skills
- Working knowledge of office devices and processes.
- Strong reading, speaking, and writing skills.
- Knowledge of administrative procedures and various computer applications.
- Computer literacy: basic computer use, relevant software, keyboard skills.
- Ability to operate a switchboard.
- Excellent verbal and written communication.
- Professional personal presentation.
- Customer service orientation.
- Information management, organising and planning.
- Attention to detail, initiative, reliability, and stress tolerance.
- Respectful, well‑structured, and organised.
- Solution‑driven and accountable for own work.
- Team player.
