Job Summary
The Picking / Warehouse Administrator will coordinate all picking activities, manage inventory, and handle administrative tasks to ensure accurate and timely order fulfilment. The role uses a Warehouse Management System (WMS) to track stock, generate pick lists, and produce performance reports. You will be the main link between warehouse operations and management reporting.
Minimum Requirements
- Education: Matric / Grade 12 (NQF Level 4) – essential. A diploma or certificate in Warehousing, Logistics, Supply Chain Management, or a related field is an advantage.
- Experience: 2–3 years in a warehouse picking or administration role.
- Hands‑on experience with a WMS such as SAP WM/EWM, Manhattan, Blue Yonder, Infor, Oracle WMS, or similar.
- Familiarity with barcode scanners, RF devices, and automated picking technologies.
- Experience in a fast‑paced distribution or fulfilment centre is preferred.
Duties & Responsibilities
Picking & Order Fulfilment
- Plan and execute daily picking tasks to meet customer orders and delivery schedules.
- Use the WMS to create pick lists, allocate stock, and confirm order completion.
- Verify picked items against orders to minimise errors and returns.
- Manage wave planning and batch picking to improve warehouse efficiency.
- Investigate and resolve picking discrepancies, short shipments, and stock variances.
WMS Administration
- Operate and maintain the WMS for all picking, packing, and dispatch transactions.
- Process goods receipts, stock transfers, location moves, and inventory adjustments.
- Generate and analyse reports on pick accuracy, throughput, ageing stock, and cycle counts.
- Troubleshoot WMS issues and liaise with IT or the vendor when needed.
- Assist with WMS configuration updates, user setup, and system testing during upgrades.
Inventory Management & Stock Control
- Conduct daily cycle counts and periodic full stock takes.
- Monitor stock levels, flag slow‑moving or obsolete items, and recommend actions.
- Maintain accurate bin locations and proper slotting of products.
- Support FIFO/FEFO principles in the warehouse.
Administrative & Reporting Duties
- Prepare daily, weekly, and monthly performance reports for management.
- Keep accurate filing systems for delivery notes, proof of delivery, and picking documents.
- Coordinate with procurement, sales, and transport teams on order priorities.
- Process returns, credits, and damaged goods documentation.
- Assist with general administrative tasks such as data entry, correspondence, and scheduling.
Health, Safety & Compliance
- Follow all warehouse health and safety regulations and company policies.
- Keep the picking area clean, organised, and compliant with 5S standards.
- Report safety hazards, incidents, or near‑misses as required by the OHS Act.
