Requirements:
- Matric certificate plus a 3-year degree or diploma in administration, a secretarial diploma, Diploma in Public Administration, or another relevant administrative qualification.
- 3-5 years of secretarial experience in the office of a senior hospital nursing or medical manager is essential. You need excellent organizational skills, the ability to multitask, strong communication and report writing skills, and the capacity to work under pressure. Professional etiquette is important to represent the senior manager’s office well. You should be reliable, ethical, and committed to going beyond your regular duties.
- Strong computer skills in Microsoft Office packages. Maintain confidentiality in the office and act with tact and discretion.
Duties:
- Provide secretarial and administrative support to the Nursing Director’s office. This includes setting up and maintaining efficient systems for work coordination, office management, diary management, organizing meetings, taking minutes, and ensuring proper record-keeping. Make sure decisions from meetings are acted on promptly.
- Arrange refreshments for visitors and stakeholders. Screen correspondence and phone calls, and direct them to the right managers or departments.
- Draft routine correspondence and reports when needed. Gather all necessary documents to prepare the Nursing Director for meetings. Supervise the secretaries of clinical and nursing managers.
- Create and maintain a filing system following the approved departmental file plan. Use office equipment like computers and photocopiers. Handle procurement of standard items such as stationery and refreshments, with an understanding of cost containment.
- Stay updated on procedures and processes in the Nursing Director’s office by reviewing relevant Public Service and departmental policies to ensure proper application.
