Job Description
We are looking for an enthusiastic intern to support our operations team. You will help plan and run events like conferences, exhibitions, and trade shows. This is a great chance to gain hands-on experience in event management and logistics.
- Assist in planning and running events, including conferences, exhibitions, and trade shows.
- Help schedule and coordinate event timelines and logistics.
- Communicate with vendors, venues, and suppliers to arrange event needs.
- Support negotiations for contracts and manage relationships with vendors.
- Work with the marketing team to create promotional materials and campaigns for events.
- Manage social media accounts and promote events on various channels.
- Handle registration, including attendee databases and responding to questions.
- Prepare and give out badges, tickets, and other registration items.
- Provide on-site help during events, such as setting up booths, running registration desks, and assisting attendees.
- Solve problems and fix issues that come up during events.
- Create and manage event content, like presentations, programs, and speaker materials.
- Support speakers and presenters to ensure they have what they need.
- Perform administrative tasks such as data entry, filing, and handling communications.
- Help prepare event reports and reviews after events.
- Interact with attendees, sponsors, and exhibitors to build relationships.
- Gather feedback from participants to improve future events.
- Assist in setting up and breaking down event spaces, including arranging furniture and equipment.
- Track inventory of event supplies and materials.
- Monitor event budgets and expenses to stay within limits.
- Prepare financial reports on event costs.
Qualifications
We welcome candidates who are studying or have completed studies in Events Management and/or Public Relations at diploma or degree level.
- Knowledge of Portuguese, French, or Arabic is a plus.
- Strong verbal and written communication skills to work with clients, vendors, and attendees.
- Excellent organizational skills to handle multiple tasks and meet deadlines.
- Attention to detail to ensure everything runs smoothly.
- Ability to work well in a team and support different departments.
- Flexibility to adapt to changes and handle surprises.
- Good customer service skills to help attendees.
- Comfortable with event software, social media, and office tools.
- Skills in problem-solving to fix issues quickly.
