Job Advert Summary

Support and assist with customer after‑sales requirements, including service and maintenance contract agreements. Provide administrative support for contract maintenance across all service and maintenance contracts for Babcock Transport Solutions and operational client needs. Handle technical and VAP requirements, including Executrax.

Minimum Requirements

  • Grade 12 or equivalent education.
  • Experience with ERP systems.
  • Minimum 2 years of industry administrative experience in the vehicle sector.
  • Diploma in Office Administration, Finance, Logistics, Supply Chain Management, or a related field is advantageous.
  • Experience in workshop job costing is advantageous.

Duties and Responsibilities

  • Provide administrative support to the Services Coordinator for managing Service, Repairs and Maintenance (R&M) contracts.
  • Administer timekeeping for all breakdown activities not processed through Managed Maintenance, completed by contracted dealers and suppliers.
  • Supply contracted dealers and suppliers with official order numbers for all breakdowns or repairs.
  • Process invoices for orders supplied to contracted dealers and suppliers.
  • Review and manage the processing of supplier invoices charged by contracted dealers.
  • Handle invoicing and control of work in progress.
  • Process relevant goodwill claims for clients arising from breakdowns.
  • Conduct service history analyses for customers as per audit requirements.
  • Act as internal liaison with New‑ and Used‑vehicle sales departments for breakdowns on used and demo vehicles.
  • Provide ad‑hoc administrative support for the technical department.
  • Control and file hard copies of job records.
  • Support debtors and creditors queries.
  • Assist with Managed Maintenance authorisation requests, providing technical insights and directives where necessary.
  • Liaise with the technical support team for escalation of repair claims.
  • Follow up on outstanding warranty and goodwill credits with dealers.
