A full-service law firm offering legal advice to UK and international businesses, as well as individuals and families, is seeking an Onboarding Admin Assistant. In this role, you will handle client onboarding, file management, compliance checks, and administrative support. You will ensure efficient communication and follow internal and external regulations.

Minimum Requirements

  • Grade 12 qualification; a relevant tertiary qualification is an advantage
  • Solid administrative experience, preferably in a law firm
  • Strong analytical and problem-solving skills
  • Excellent telephone etiquette with clear, friendly, and professional communication
  • Ability to work under pressure and meet tight deadlines while providing high-quality client service
  • Effective team player with strong collaboration skills
  • Self-motivated with the ability to work independently and take initiative
  • Proficient IT skills
  • Available to work UK hours

Key Responsibilities

  • Carry out file opening for the department
  • Onboard clients according to internal processes, ensuring paperwork is completed on time
  • Communicate with clients via email and phone, including answering calls and transferring them to the relevant team members
  • Conduct anti-money laundering checks
  • Perform visual identification verification checks
  • Follow internal and external compliance requirements
  • Maintain accurate records and enter data into internal and external systems
  • Liaise with external providers, such as the Land Registry, when needed
  • Identify and suggest improvements to existing processes
  • Provide administrative support to the department as required
