Technical Focus

Administration. The role involves working closely with relevant administration and programs units in the office, including the resilience hub (REOSA). You will play a key role in supporting the office of the FAO Representative.

Tasks and Responsibilities

  • Screen requests for appointments with the supervisor; manage the supervisor’s calendar; confirm schedules and arrange meetings; receive visitors; handle and screen phone calls.
  • Respond to inquiries and correspondence, including sensitive, confidential, or technical matters.
  • Coordinate support services for meetings, trainings, seminars, committees, and special projects or events; attend meetings, prepare minutes, and follow up on actions; arrange for editing, translation, and other document needs.
  • Review, log, distribute, and process incoming mail and correspondence.
  • Track and follow up on pending tasks to ensure they are completed on time.
  • Draft responses to various types of correspondence and communications, using knowledge of technical terms and office procedures.
  • Perform quality checks on outgoing documents to ensure they follow FAO style, format, grammar, punctuation, and consistency.
  • Monitor the FAOZA email account and keep the FAO Representative updated on daily messages.
  • Create and maintain filing and reference systems for the work unit; review office procedures and suggest improvements.
  • Maintain confidentiality on all communications related to the office of the Representative.
  • Update and maintain a database of partners and contact details for key stakeholders.
  • Support communication workflows from the Office of the Representative to various units in the organization.
  • Perform other administrative duties as needed.

Candidates Will Be Assessed Against the Following

Minimum Requirements

  • Secondary School Education
  • Three years of relevant experience in office or management support work
  • Working knowledge (proficient – level C) of English
  • National of South Africa
