The Road Accident Fund (RAF) aims to provide comprehensive cover to all road users in South Africa, ensuring timely rehabilitation and compensation for individuals injured in motor vehicle accidents while promoting road safety.

Note: This position is for a 12-month Fixed-Term Contract.

Purpose of the Job

The Administrative Assistant will provide day-to-day administrative support to the Adjudication department, facilitating the smooth operation of its activities.

Key Performance Areas

Compliance Administration:

  • Maintain up-to-date written documentation related to the department’s business activities.
  • Ensure compliance with policies and process standards.
  • Stay informed about internal standards and business goals to ensure adherence to sound internal control.

Office Coordination:

  • Follow up on outstanding matters to ensure timely resolution.
  • Handle all requests promptly within set timelines.
  • Manage the availability of stationery within the department.
  • Validate and verify information and documents for accurate capturing and handling.
  • Keep systems/registers updated and report on duplicate documents, requests, and queries.
  • Allocate reference numbers and accurately capture related documents on different systems.
  • Draft and send out letters to stakeholders as required.

Meeting Support:

  • Arrange meetings for the department and assist with taking and distributing minutes per governance standards.
  • Maintain a register to track outstanding matters and follow up on meeting resolutions.
  • Confirm meetings and manage team diaries.
  • Schedule appointments with internal and external stakeholders as needed.

Document and Records Management:

  • Administer records management and filing processes according to the RAF filing plan.
  • Ensure the filing system is always up-to-date and functional.
  • Retrieve information as requested and maintain confidentiality of all documents.
  • Acknowledge receipt of documentation, allocate file numbers, record data onto the computer system, and file appropriately.

Qualifications

  • Matric or Grade 12 certificate.

Experience

  • Relevant 1 year of experience in an administrative or similar environment.

Note: The RAF offers Total Employment Cost packages with no additional contributions from the employer. Successful candidates will be required to structure their packages to meet their needs.
