Intake Specialist

We are seeking an Intake Specialist for a financial services marketing agency. This is a full-time remote position for a US-based client. The role involves handling inbound calls from consumer leads, qualifying prospects, and scheduling appointments for financial advisors. You will also ensure CRM accuracy and follow compliance rules. The ideal candidate speaks clear and confident English, has a friendly phone manner, is organized, detail-focused, handles pressure well, and is available for weekend shifts.

Key Responsibilities:

  • Answer inbound calls quickly during your shifts and give callers a professional, caring experience.
  • Qualify leads based on given criteria and scripts; record details accurately and note call outcomes.
  • Book consultations on advisors’ calendars, manage follow-up calls, and handle simple SMS or email reminders.
  • Log all interactions in the CRM with full, accurate notes; keep lead statuses current.
  • Follow compliance, privacy, and do-not-call rules; do not give financial advice.
  • Meet or beat key performance goals like response time, appointment bookings, and show rates.
  • Escalate urgent or important leads as per guidelines.
  • Work with the team to improve scripts, FAQs, and scheduling processes.
  • Submit daily and weekly performance reports.

Required Qualifications:

  • At least 2 years in an inbound call center, reception, intake, or appointment-setting role.
  • At least 2 years with proven results in turning inbound interest into confirmed appointments.
  • Strong spoken and written English with excellent listening skills.
  • Skilled in modern CRMs and VoIP/softphone tools; quick and accurate at entering data.
  • Reliable for weekend work (Saturday and Sunday, 4 hours each) in US time zones.

Preferred Qualifications:

  • Experience helping US-based financial advisors, wealth management, or insurance teams.
  • Knowledge of compliance in call handling (like TCPA/DNC) and managing sensitive information.
  • Practical experience with common CRMs, VoIP systems, and scheduling tools for advisory firms.

Required Skills & Tools:

  • CRM proficiency (e.g., Salesforce, HubSpot, Zoho)
  • VoIP/softphone systems (e.g., RingCentral, Aircall, Dialpad)
  • Scheduling and calendaring tools (e.g., Calendly, Google Calendar, Outlook)

Schedule & Pay:

  • Full-time: Monday to Friday, 11 AM – 7 PM EST
  • Fully remote for a US-based client
  • Pay: R14,000 – R16,000 per month
  • Includes annual raises, structured training, script and process support, performance coaching, and growth opportunities
