Job Description
Key Performance Areas
Provide Support to Stakeholders:
- Provide required information to walk-in clients.
- Direct walk-in clients to relevant departments.
- Communicate SDF (Skills Development Facilitator) activities and dates to stakeholders.
- Collect meeting schedule from reception.
- Administer meetings as scheduled.
Operating the Switchboard:
- Answer incoming calls.
- Transfer calls to relevant departments.
- Take messages and forward them to relevant personnel.
Manage Reception Area:
- Accept documents on behalf of the Chamber.
- Send communication to the Chamber to collect documents.
- Log a call when TETA phones are down.
- Order drinking water bottles.
Maintenance of the Office:
- Ensure that the office is kept clean at all times.
- Dust and polish furniture and counters.
- Sweep/vacuum, polish, and mop floors daily.
- Maintain a clean and hygienic kitchen area.
- Ensure that the kitchen is always tidy.
- Ensure that the fridge is cleaned at least once a week.
- Clean and sanitize toilets, countertops, and sinks.
- Empty out dustbins every day.
Preparing Board Room for Meeting:
- Book the boardroom for meetings.
- Tidy boardrooms or training rooms before and after meetings.
- Supply cutlery for tea and lunch during meetings.
- Ensure that there are enough water jugs and glasses before meetings commence.
- Ensure that meeting venues are kept clean at all times.
Mentoring and Coaching of Interns:
- Train interns on how to operate the switchboard.
- Motivate interns to contribute to and support team goals.
Minimum Requirements
Experience and Qualification:
- Matric qualification. A secretarial or administration qualification will be an added advantage.
- A minimum of 3 years of experience working as a switchboard operator or receptionist, of which 1 year should be in housekeeping or as a cleaner.
