About the Role

The Flight Operation Administrator will provide essential office and administrative support to the Flight Operations team and the Chief Pilot. This role ensures smooth communication, efficient scheduling, and accurate record‑keeping to support the daily operations of the airline.

Key Responsibilities

  • Answer and route incoming calls, emails, and correspondence.
  • Arrange and schedule meetings, including room bookings and logistics.
  • Prepare and circulate meeting agendas in advance.
  • Take accurate meeting minutes and distribute them promptly.
  • Maintain filing systems and keep documentation organised for audits and compliance.
  • Act as the main contact for Flight Deck crew queries and forward issues when necessary.
  • Coordinate with the Rostering and Training Department on roster changes.
  • Work with HR on crew reports and onboarding of new Flight Deck crew.
  • Update crew records and manage crew‑related documentation.
  • Support crew with iPad troubleshooting, updates, and device distribution.
  • Prepare, compile, and format regular and ad‑hoc reports (e.g., seniority listings, leave reports).
  • Ensure all Flight Operations documents are current and distributed to stakeholders.
  • Keep operational records, manuals, and reports updated to meet company and regulatory standards.
  • Follow up on deadlines to ensure timely system updates and reporting.
  • Provide administrative support to the Chief Training Captain, Fleet Captain, EBT Manager, Cadet Manager, and Office Pilots.

Requirements

  • Grade 12 or equivalent (essential).
  • Relevant tertiary qualification (advantageous).
  • 1–3 years of office administration experience (essential).
  • Experience in aviation or operations (advantageous).
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Strong administrative skills and excellent attention to detail.
  • Excellent interpersonal and communication skills.
  • Ability to multitask and work under pressure.
  • Quick learner and effective problem solver.
