Job Summary

To plan and deliver daily team tasks and activities. Execute administration services accurately and on time to support policy compliance. Follow predefined objectives and standard operating procedures (SOPs).

Job Description

Requirements:

  • Provide administrative and secretarial support to the Business Banking Compliance Executive Head and the reporting team.
  • Manage the diary of the direct line manager and team as needed. Remind them of upcoming commitments and important matters.
  • Organize meetings and functions for the team, including logistics like venues, menus, and travel arrangements.
  • Work with the in-house travel agent to book domestic and international trips for team members. Follow the required travel approval process.
  • Attend team meetings to take minutes. Type the minutes, get them approved by the chair, and distribute them.
  • Print and bind presentations, newsletters, or other materials upon request from team members.
  • Handle office moves for team members, coordinating with building management and IT.
  • Manage general office administration, such as ordering stationery and groceries, restocking printers, and maintaining reserve stock.
  • Build and maintain a current contact database for the team.
  • Maintain project documentation for departmental projects on request. Ensure documents and reports are completed by team members.
  • Keep files for team documentation.
  • Record and relay telephone messages for team members who are out of the office.
  • Type correspondence, management reports, or other documents as requested by the line manager or team members.

Minimum Requirement:

  • 5-10 years of Executive Administration experience

Education:

  • Higher Diplomas: Office Administration (Required)
