Role Overview
The Executive Assistant will offer high-level and confidential support to the Director. This role needs strong organization skills, good judgment, proactive problem-solving, and the ability to work on your own. You will act as a trusted gatekeeper, coordinator, and partner in operations.
Key Responsibilities
- Handle the Director’s diary and time, including scheduling, prioritizing, and planning daily tasks.
- Arrange all travel needs, from flights and hotels to visas, itineraries, and documents.
- Screen, prioritize, and manage incoming communications like emails, messages, and calls. Make sure urgent issues are handled quickly.
- Serve as a link between the Director and internal or external contacts.
- Prepare, write, review, and edit important emails, reports, presentations, and board documents.
- Keep a secure and well-organized digital filing system for documents.
- Track and balance the Director’s expenses.
- Organize meetings, board sessions, and events, including agendas, venues, and follow-ups.
- Handle sensitive, confidential, and business-sensitive information with complete discretion.
- Anticipate needs, manage risks, and solve potential problems ahead of time.
- Offer administrative and operational help as needed for business and personal matters.
Essential Skills and Qualifications
- Proven experience as an Executive Assistant or Personal Assistant.
- Excellent skills in organization, planning, and prioritizing.
- Strong knowledge of digital tools, cloud platforms, productivity apps, and communication systems.
- Clear written and spoken communication for executive and board levels.
- Great problem-solving and decision-making skills.
- High emotional intelligence, professionalism, and good judgment.
- Ability to work alone on several tasks at once.
- Flexibility for remote work and availability when needed.
