Purpose of the Job

The Buyers Assistant supports the buying team’s goals by handling all operational and administrative tasks efficiently. This includes entering buying data into systems, placing orders, processing purchase orders and invoices, and resolving queries from vendors, suppliers, distribution centers, and stores. The role involves quality-checking all entered information. It requires teamwork with the Buyer to meet commercial targets. We seek an organized, detail-focused person with energy and a strong drive to succeed.

Job Objectives

  • Load correct costs into the distribution center system so planners can order stock.
  • Calculate accurate pricing for different units of measure to ensure correct pack sizes, costs, and selling prices are set for suppliers.
  • Check and correct costs and sales prices after buyers and planners set up product clusters (grouped by brand and store size).
  • Enter retail prices accurately and carefully.
  • Resolve store issues quickly, such as distribution center errors or supplier barcode problems, and adjust product ranges as needed.
  • Help with customer queries on stock availability and orders, and arrange transfers between stores when required.
  • Load new products into the SAP Buying system as approved by the Buyer.
  • Notify distribution center planners about new products and provide supplier details like packaging and stock levels.
  • Set system flags to add or remove products at store level.
  • Work with replenishment teams to place orders and share delivery dates from buyers.
  • Enter product removals and price reductions on time.
  • Remove or unlink items from distribution centers after suppliers stop or when items are no longer suitable.
  • Keep files updated with invoices, cost documents, new product forms, and supplier updates.
  • Create reports for the Buyer to review and act on.
  • Track performance against key goals and fix issues or report them to the Buyer.

Qualifications

  • Grade 12 certificate (essential).

Experience

  • 1 year in a similar role handling administrative tasks in buying or planning (essential).
  • Experience in a retail buying environment (essential).

Knowledge and Skills

  • Strong skills in MS Office 365, especially Excel for creating spreadsheets with formulas (essential).
  • Knowledge of SAP Buying or Retail systems (preferred).
