JOB PURPOSE

The role coordinates the operational, administrative, and brand compliance tasks in the Communications Department. It ensures smooth workflows, accurate records, and consistent use of Peace Parks Foundation’s visual and narrative standards. The position tracks approvals, follows processes, and delivers all communications outputs on time and to a high standard.

DUTIES AND RESPONSIBILITIES

Operational Coordination (about 50%)

  • Keep departmental calendars, project management systems like Monday.com, and shared filing up to date.
  • Track deadlines and deliverables for campaigns, donor outputs, and publications. Identify risks or delays early.
  • Help schedule, coordinate, and follow up on departmental meetings, including preparing agendas and action lists.
  • Manage procurement, contracts, and logistics for communications suppliers, events, and travel.
  • Keep accurate records of departmental activities, project pipelines, and content approvals.
  • Provide administrative support to the Chief Communications Officer, such as diary management, meeting assistance, and internal correspondence.
  • Ensure clear communication between headquarters and field teams about deadlines and requirements.

Brand Governance and Quality Control (about 50%)

  • Act as the main contact for brand compliance in the department. Ensure all materials follow Peace Parks Foundation’s visual identity and tone of voice.
  • Review communications materials like reports, presentations, videos, and social media graphics. Check for proper logo use, colors, fonts, partner credits, and formatting.
  • Update and maintain the Peace Parks Brand Toolkit, templates, and brand assets on SharePoint for staff and partners.
  • Ensure partner logos and visibility guidelines are applied consistently in all publications and media.
  • Manage and track internal approval processes for content. Get the right sign-offs before publication or release.
  • Serve as the quality checker for all outgoing communications. Work with project leads and managers to fix any inconsistencies.
  • Help onboard new staff and partners on brand guidelines and internal communications rules.

Job Requirements

Minimum Requirements

  • Diploma or bachelor’s degree in office administration, communications, or business management.
  • At least 5 years of experience in office coordination, communications support, or marketing administration.
  • Strong organizational and multitasking skills, with great attention to detail and the ability to meet deadlines.
  • Proven skills in managing approvals, workflows, and documentation in a busy environment.
  • Excellent interpersonal and communication skills in English.
  • Skilled in Microsoft Office 365, SharePoint, and project management tools like Monday.com.
  • Knowledge of branding, publication, or design processes is a plus.
