Purpose of the Position
The Assistant Section Head for Residence Services plays a key role in running the residences smoothly. This position mainly involves managing the residence staff.
Key Responsibilities
Maintenance and Facility Management
- Make sure all maintenance and repair problems are fixed quickly by following up on work orders.
- Work with campus facilities, contractors, and service providers to handle repairs.
- Keep good records of maintenance schedules and facility improvements.
- Carry out regular checks to ensure everything runs efficiently and safely.
- Find ways to save costs without reducing quality.
Oversee Administrative Functions for Residences
- Manage tasks like record keeping, corridor and room inventories, and document filing according to standards.
- Handle office supplies, ensuring orders stay within budget.
- Support facilities maintenance.
Staff Management
- Approve leave and sick leave for 24 Residence Officers.
- Provide ongoing training on administrative procedures for residence officers.
- Communicate effectively with the Section Head, staff, and residence management.
- Handle ad-hoc duties as needed.
- Help with recruiting, training, and developing staff.
- Address staff concerns and performance issues with the Section Head.
- Ensure workplace policies are clear and followed.
- Make sure performance agreements are set up and goals are met on time.
- Create a positive and productive work environment.
Occupational Health and Safety (OHS)
- Ensure all OHS policies are followed and put into practice.
- Conduct risk assessments and fix any hazards.
- Work with health and safety officers to meet regulations.
- Handle incident reports and follow up on fixes.
Liaison
- Communicate internally with departments, residence management, students, staff, and residence officers.
- Deal with external contacts like parents, potential students, and service providers.
- Arrange training courses for Residence Officers.
Key Functional and Technical Competencies
- Strong knowledge of occupational health and safety rules.
- Good focus on client service.
- Skills in Excel, Word, emails, and the internet.
- Strong organization, administration, and multitasking skills.
- Strong interpersonal skills.
- Good verbal and written communication in English, Tswana, and Afrikaans.
- Ability to work under pressure and handle multiple priorities.

- Excellent leadership, problem-solving, and communication skills.
- Good relations with people; able to connect with parents and potential students.
- Ability to manage staff and their work habits.
- Calm and even-tempered.
- Good at managing phone calls, student queries, and staff needs at the same time.
Minimum Requirements
- A relevant bachelor’s degree (NQF Level 7).
- At least three years of experience in budgeting and financial oversight.
- At least three years in a supervisory or management role.
- At least three years in maintenance operations and working with external service providers.
