Job Summary:
The Office Assistant will be appointed on a permanent basis and will play a key role in maintaining a clean and efficient office environment while providing essential administrative and office support services. This includes messenger duties, managing incoming and outgoing communications, and facilitating the transport of staff when necessary.
Key Responsibilities:
- Ensure a clean and organized physical office environment, contributing to smooth operations.
- Provide office support services, including messenger duties for Legal Practitioners and staff.
- Ensure that all reports and documents are delivered accurately and on time to the appropriate recipients.
- Maintain a register for incoming and outgoing faxes in the required format.
- Handle incoming mail according to Legal Aid SA’s administrative guidelines.
- Ensure accurate filing of all documentation.
- Man the switchboard, ensuring professional telephone etiquette at all times.
- Collect and post mail on a daily basis.
- Transport Legal Aid SA staff members to court hearings or other offices, following the relevant Transport/Fleet Management policies and procedures.
Required Competencies:
- National Senior Certificate (Matric).
- A valid driver’s license.
- Ability to perform office support tasks efficiently with attention to detail.
- Strong communication skills and a customer-oriented attitude.
- Familiarity with administrative procedures and filing systems.
Compensation:
- Basic Salary: Level 4 (R179, 598.00) per annum, plus benefits.
