Job Description
The Administrator – Stock and Sales is responsible for reconciling actual stock with documentation and systems, and invoicing customers according to contract terms. This role ensures accurate contract management, timely invoicing, and effective communication with clients and internal teams.
Key Responsibilities
- Prepare contracts for delivery and confirm accuracy of deal sheets.
- Update contracts after new season prices are received.
- Submit contracts to clients and ensure signed contracts are returned before cut‑off.
- Update contract codes and status on the AGRIS system.
- File contract documents electronically.
- Provide documentation to line manager for non‑payment cases.
- Monitor AGRIS system integrations.
- Capture tonnages delivered to non‑AFGRI silos.
- Report non‑deliveries and adjust contracts per policy.
- Release non‑AFGRI silo certificates and stock after payment.
- Ensure settlements align with cost lines.
- Send invoices to customers and follow up on non‑payment.
- Resolve payment and price queries promptly.
- Reconcile inbound and outbound transactions from silos.
- Request silo certificates to ensure on‑time delivery to the JSE.
- Ensure timely payment for silo cost accounts and follow up on outstanding invoices.
- Invoice tonnages onto contracts and confirm stock levels.
- Invoice sales contracts based on stock availability.
- Request stock upgrades for outstanding contracts.
- Reconcile invoices against the AGRIS system.
- Manage the ESC (Electronic Silo Certificate) system.
- Reconcile ESC, Minibem, and non‑AFGRI stock confirmations with AGRIS.
- Investigate and correct stock differences.
- Reconcile hedge reports with AGRIS bin reports.
- Provide on‑the‑job training for new department employees.
- Act as superuser and assist all departments on AGRIS.
Requirements
Education: Grade 12 minimum.
Experience: 2 years clerical experience in an agricultural environment.
Technical Knowledge & Competencies
- Computer literacy (MS Office).
- Knowledge of agriculture.
- Understanding of the AGRIS system (advantageous).
- Verbal and written communication skills.
