About the Role

The Administrator will support the operations team by managing administrative tasks, scheduling, and coordinating resources to ensure efficient service delivery.

Key Responsibilities

  • Collect quotes for the assigned area and verify they are entered in Listener.
  • Assign quotes to technicians and prioritize calls to optimize travel time.
  • Schedule jobs efficiently based on capacity and geographic location (servicing and installations).
  • Contact clients to schedule appointments, confirm times, and manage telephone bookings.
  • Assist sales in booking technicians and voiding aged jobs.
  • Provide pipeline figures for installations and support JHB in sending job cards.
  • Prepare BNS and insurance reports.
  • Schedule installations for CPT sales.
  • Ensure all documents from OTC are handed to the Technical Manager for allocation.
  • Follow up on Top 20, Low Bat, and Overactive lists.
  • Resolve scheduling queries promptly and raise escalations when necessary.
  • Assist technicians with loading radios and performing tests.
  • Support EHS initiatives and provide technical assistance to clients.
  • Follow up on all jobs to schedule same-day service where possible.
  • Maintain department efficiency by covering for team members when absent.
  • Order, issue, and control stock; assist with stock takes.
  • Help with technical invoicing and distribution of service/installation stock to technicians.
  • Perform general administrative duties: coordinate meetings, take minutes, manage agendas, and distribute correspondence.
  • Maintain the Manager’s diary and filing system.
  • Coordinate and book operational travel and accommodation.
  • Compile weekly and monthly reports.
  • Screen all documentation and correspondence for the Manager, prioritise, and gather required information.
  • Answer and screen all calls to the Manager.

Qualifications

  • Grade 12 or equivalent.
  • Excellent verbal and written communication skills.
  • Minimum of 2 years of administrative experience.
  • Computer literate – proficient in MS Office.
  • Experience with Listener is advantageous.
