Job Description

We are seeking a dedicated Administrative Assistant to provide support to the Maintenance department. Key responsibilities include:

  • Managing documentation by typing documents, memos, and letters accurately.
  • Maintaining an efficient filing system, including handling deviations.
  • Handling all incoming and outgoing mail.
  • Booking meetings and taking minutes.
  • Providing effective telephone etiquette, including making and receiving calls, screening, and taking messages.
  • Compiling monthly reports, memorandums, and other required documents.
  • Assisting managers with preparing and filing Management Committee documents for easy retrieval.
  • Booking conference rooms and ensuring they are ready for use.
  • Organising team-building sessions and departmental functions.
  • Performing any other tasks deemed necessary by the manager or department to ensure smooth operations and support NTP’s sustainability.
  • Submitting and keeping records of overtime sheets.
  • Assisting with diary management.
  • Helping with travel arrangements, including transport and accommodation.
  • Managing access arrangements for external visitors and making necessary preparations.
  • Maintaining sufficient stock levels of consumables and stationery.
  • Ordering consumables and stationery, and receiving orders.
  • Placing orders and following up on releases.
  • Managing the use of consumables to ensure proper utilisation and control.
  • Performing daily maintenance on printers, ensuring they have enough paper and are in working order.
  • Creating purchase requisitions on the workflow system.
  • Ensuring all departmental Lebo observations are submitted.
  • Assisting with booking safety training and maintaining the departmental training matrix.

Requirements

Key Knowledge and Skills:

  • Providing comprehensive and efficient administrative support to the Maintenance department.
  • Maintaining awareness of requirements for a safe working environment.
  • Delivering comprehensive and efficient administrative support overall.

Minimum Qualifications and Experience:

  • N6 or Diploma in Administration/Secretarial.
  • 1 to 3 years’ experience in an administration or secretarial role.
  • Proficiency in Microsoft Office.
