Administrative Assistant: Reception

The main focus of this role is to handle the reception area professionally, provide administrative support, and communicate effectively with clients, staff, and suppliers. As the first point of contact for visitors, you will play a key role in keeping the office and factory running smoothly.
Experience and Qualifications:
- At least 2 years in a similar role.
- Strong computer skills, including Microsoft Office and Uniclox.
- Excellent communication skills in Afrikaans and English.
- Organized and detail-oriented with administrative tasks.
- Professional attitude, focused on clients, with a positive approach.
Duties:
Telephone and Communication
- Handle all incoming calls and messages professionally.
- Manage the office cellphone and other communication channels.
- Liaise effectively with relevant people and departments.
- Respond to emails in a timely and professional way.
Administrative Duties
- Use Excel, Word, PowerPoint, and other Microsoft programs effectively.
- Perform general administrative tasks, such as taking minutes and planning meetings.
- Print documents, organize files, and check marketing materials.
- Coordinate courier services for sending and receiving packages.
- Control and record keys for various departments.
- Obtain and manage quotations.
- Forward Batton reports to the security company, report any issues, and monitor the visitor register.
Customer Service and Sales
- Welcome clients and visitors professionally.
- Manage retail sales and communicate with clients.
- Handle orders for caps, new buyers, and vendors.
- Oversee the checkout process for crates and bags.
- Coordinate sponsorships and promotions.
Personnel Administration
- For permanent staff: Handle paperwork, leave, overtime, and Uniclox hours.
- For seasonal staff: Register in Uniclox, process hours, overtime, taxi forms, and welcome new employees.
- Issue payslips, warnings, and handle salary inquiries.
- Manage gate access for staff and visitors.
Accreditation
- Support management with BRC standards and documentation.
- Ensure compliance with health and safety regulations and keep records updated.
