Job Summary:
Unitrans is looking for an Administration Officer I to support our functional groups. The role involves clerical duties such as compiling data, making standard calculations, handling licensing, receptionist tasks, managing petty cash, processing documents, maintaining records, and filing. Routines are generally prescribed and supervision is readily available.
Key Responsibilities:
- Manage the boardroom calendar and prepare the boardroom for meetings and audits.
- Arrange lunches and refreshments for meetings and audits.
- Answer and transfer incoming calls, report and follow up on switchboard/phone faults, and update the internal extension list weekly.
- Send and receive courier mail daily.
- Supervise staff cleaners.
- Order monthly groceries and water.
- Order and maintain stock, distributing as required.
- Manage float and perform weekly cash reconciliation.
- Send weekly COF reminders and update license renewal notifications via email.
- Distribute license disks to contract supervisors and fleet controllers.
- Pull monthly fine reports, update fine status on the Trafico system, and forward speeding fines to contract managers or supervisors.
- Submit fine requests into the Trafico system.
- Reconcile and submit overtime and weekend allowance to payroll monthly.
- Capture and submit BVO’s Night Out claims weekly per contract to payroll.
- File documents daily in order number sequence, ensuring files are updated and maintained.
- Handle reception and telephone duties.
- Capture data and take minutes.
- Maintain good customer relations in daily interactions.
- Compile daily hours worked and weekly input for wage processing.
- Assist staff with queries.
