Requirements

  • A Senior/Grade 12 certificate.
  • Knowledge of clerical functions and basic financial operating systems (such as SAP).
  • Understanding of the legislative framework governing the public service.
  • Basic skills in problem-solving and analysis.
  • A highly motivated individual with good time management and organizational skills.
  • Excellent interpersonal and communication skills to interact with people at all levels in the department.
  • Skills in using computer applications such as MS Word, Excel, Outlook, and PowerPoint.

Duties

  • Provide general clerical support services to the director and officials in the directorate.
  • Keep and maintain incoming and outgoing registers in the directorate.
  • Receive and respond to queries promptly.
  • Receive and deliver documents for the directorate as needed.
  • Maintain the filing system for the directorate.
  • Make photocopies and handle receiving or sending faxes.
  • Type letters and other correspondence when required.
  • Provide supply chain management support services within the directorate.
  • Complete procurement forms and capture purchase requisitions on the SAP system for items like standard office supplies, drums, toners, stationery, and IT equipment.
  • Collect and control all received standard office items, drums, toners, stationery, and IT equipment.
  • Liaise with internal and external stakeholders regarding the procurement of goods and services.
  • Receive and verify delivered goods and services for the directorate.
  • Manage stock control of office stationery.
  • Keep and maintain the asset register of the directorate.
  • Provide support in arranging travel and accommodation requests when required.
  • Offer financial administration support services in the directorate.
  • Check the correctness of subsistence and travel claims for officials and submit them to the manager for approval.
  • Receive, verify, and process invoices for payment.
