Admin Clerk / Receptionist (Permanent Position)

Job Summary:

This role involves handling the receipt, recording, and distribution of all samples. The goal is to ensure accurate information and support the quick processing of samples according to our service standards.

Minimum Requirements:

  • Grade 12 or equivalent NQF level 4 qualification
  • BSc Degree is advantageous

Experience:

  • 0-1 years of relevant work experience

Relevant Knowledge:

  • Understanding of organizational policies and procedures
  • Computer literacy
  • Familiarity with laboratory information systems

Key Responsibilities:

  • Sort and distribute samples following standard operating procedures to ensure proper routing to labs or sites.
  • Register samples and handle related queries as per procedures.
  • Dispatch specimens for processing, monitor progress, and manage reports, including queries and delivery, within set timeframes.
  • Conduct hospital rounds to deliver reports and collect samples according to procedures.
  • Address administrative queries and customer complaints promptly.
  • Track sample delivery by couriers to ensure timely receipt, processing, and result return.
  • Identify and resolve issues in pre-analytical lab processes.
  • Maintain basic housekeeping in your work area, including cleaning and preparing equipment.
  • Monitor stock levels, order supplies, and ensure materials are available, including delivery to doctors’ rooms.
  • Represent the company professionally with medical staff and apply customer care principles in pathology.
  • Manage the reception area, provide information, direct clients, and deliver excellent customer service.
  • Handle patient payments and bank funds according to procedures.
  • Report incidents, log complaints and solutions, and manage tasks on the laboratory information system.
  • Prepare and scan patient forms into the scanning system and resolve any incomplete scans.
  • Follow uniform and protocol standards.
