The is looking for a dedicated Administrative to join the Claims department. This role is integral to ensuring smooth day-to-day operations, supporting critical processes, and maintaining with RAF’s policies. Purpose of the Role

The Administrative Assistant will support the Claims department by managing compliance tasks, coordinating office operations, assisting in meetings, and handling crucial documentation. The goal is to ensure efficient claims processing and help the department meet its objective of providing adequate coverage to road users in the event of accidents.


Key Responsibilities

1. Compliance

  • Document Maintenance: Maintain accurate and up-to-date departmental records, ensuring compliance with RAF’s policies.
  • Policy Adherence: Stay informed about internal regulations and standards to ensure the department follows sound internal controls.

2. Office Coordination

  • Follow-ups: Track and manage outstanding matters, ensuring timely responses.
  • Resource : Maintain office supplies and ensure that essential resources are always available.
  • Information Validation: Verify for accuracy and data integrity.
  • Document Tracking: Manage document reference numbers and prevent duplication to maintain organizational efficiency.

3. Meeting Support

  • Scheduling: Arrange meetings, manage calendars, and confirm appointments with internal and external stakeholders.
  • Minute Taking: Document and distribute meeting minutes, ensuring all action points are followed up.
  • Tracking Outstanding Matters: Maintain a record of unresolved issues and track follow-ups to ensure timely resolution.

4. Document and Records Management

  • Records Management: Implement and maintain filing systems in alignment with RAF’s filing plans to ensure documents are easily accessible.
  • Confidentiality: Uphold the strict confidentiality of sensitive documents, especially those related to claims.

Qualifications and Experience

  • Educational Requirement: A Matric/Grade 12 .
  • Experience: At least one year of relevant experience in an administrative or similar role is required. This experience will enable candidates to effectively handle administrative tasks within the Claims department.
