Job Summary
As an Office Manager, you will provide secretarial services and support to the Principal Officer. You will also manage the administration of the Principal Officer’s office and the company’s Head Office. This includes overseeing cleaning, catering, messenger services, reception, and IT support services. Your role will ensure smooth daily operations and efficient office management.
Qualification and Experience Requirements
- A three-year degree, diploma, or NQF Level 6 qualification in office administration.
- 2-3 years of experience in an office management role.
- 1-2 years of management experience.
- Computer literacy in all Microsoft Office packages.
- Responsible and reliable with a diligent work ethic and strong attention to detail.
- Excellent interpersonal skills and good knowledge of office administration.
- Strong leadership skills and a passion for customer service.
- Self-motivated, proactive, with good written and verbal communication skills.
- Ability to negotiate, work well in a team environment, and be result- and target-driven.

Key Performance Areas
- Ensure efficient administration and management of the Client Liaison Office (CLO), including cleaning, catering, messenger services, reception, and IT support.
- Procure office supplies and monitor the availability of funds in the office budget.
- Coordinate the procurement of equipment and supplies for the region, including managing orders and obtaining payment authorizations.
- Monitor the utilization of promotional items and manage stock levels.
- Ensure all expenditures stay within budget and follow the company’s Supply Chain Management policy.
- Develop and implement processes for handling internal and external correspondence.
- Maintain general office administration duties, such as reporting faults in the building and office equipment.
- Organize and coordinate office events.

Client Liaison Officer

Job Summary
The Client Liaison Officer role involves providing onsite client services and resolving queries from members and potential members. You will act as a key point of contact to ensure smooth communication and support for clients, helping to address their needs efficiently and professionally.
Requirements
- Matric certificate.
- NQF Level 5 FAIS accredited qualification (as per the FSCA published qualification list).
- RE5 certification (required).
- FAIS accredited representative (required).
- Valid driver’s license (required).
- At least 2 years of industry experience (experience in the Medical Scheme industry is advantageous).
- Date of First Appointment (DOFA) of 2 years with FSCA for 1.16 Health Services Benefits (advantageous).
- Registered with CMS as a fully accredited broker (advantageous).
- No longer under supervision (advantageous).
- Class of Business Health Benefits (advantageous).
- Own vehicle.
- Ability to speak one of the following languages in addition to English: South Sotho or Afrikaans (an added advantage).

Key Performance Areas

- Follow up with members on outstanding information or documents needed to finalize business processes.
- Assist the marketing service provider at events by addressing member queries.
- Resolve all queries at first contact where possible.
- Log all resolved and unresolved queries daily for reporting purposes.
- Compile a daily activity report.
- Escalate unresolved queries to the admin team through the team leader daily.
- Represent the organization positively in line with its mission, vision, and values.
- Maintain positive relationships with Scheme members and stakeholders.
- Facilitate effective communication between members and the Scheme.
- Compile weekly, monthly, and quarterly activity reports for submission to the Team Leader.
- Provide ad hoc information when requested.
- Possess extensive knowledge of the Scheme and operations to assist in resolving member queries.
- Demonstrate ability to use computers and required systems to resolve queries.
- Market the Scheme to potential members and assist in enrolling them.
- Follow the advice process in rendering advice and intermediary services (under supervision of a Key Individual or Supervisor if applicable).
- Adhere to supervision agreements, instructions, guidance, and oversight from the FAIS supervisor and Key Individual (if under supervision).
- Conduct needs analyses for members, provide guidance and recommendations, and propose suitable benefit options.
- Provide ongoing option advice to members based on their individual needs and goals.
- Ensure advice records are comprehensively completed, sent to the member and supervisor/Key Individual, and properly stored.
