Position Overview

We are seeking a highly organized and professional Senior Secretary to provide comprehensive administrative, secretarial, and office management support to the Director. This role is crucial in ensuring the smooth and efficient operation of the Director’s Office through effective communication, documentation management, and logistical coordination.

Minimum Requirements

  • Grade 12 or NQF Level 4 qualification
  • National Diploma in Secretarial Studies, Office Administration, or any related tertiary qualification in Administration at NQF Level 6
  • Demonstrated understanding of secretarial and office administration concepts and functions

Primary Function

To provide comprehensive administrative, secretarial, and office management support to the Director. This includes managing correspondence, maintaining effective record-keeping systems, coordinating the Director’s diary and meetings, attending to stakeholder enquiries, and ensuring the smooth operation of the Director’s Office through efficient communication, documentation, and logistical support.

Key Performance Areas

  • Coordinate and manage all documentation required for the Director’s Office
  • Manage the Director’s diary and programme of activities efficiently
  • Attend to requests directed to the Director’s Office and provide general office support
  • Provide administrative support to the Director’s Office as needed

Leading Competencies

  • Computer literacy in Microsoft Word, Excel, and PowerPoint
  • Excellent written and verbal communication skills
  • Strong coordinating and organizational abilities

Core Competencies

  • Basic knowledge of secretarial and office administration concepts and functions
  • Understanding and application of Batho Pele Principles and work ethics
  • High level of professionalism and discretion
