Job Purpose

The Debtors Administrator will support the management of our property portfolio by ensuring that all rent and other charges are collected on time. The role involves handling collections, resolving payment issues, and maintaining a professional image for the company.

Key Responsibilities

  • Follow up on overdue accounts by phone, email, and letter.
  • Discuss payment arrangements and inform clients of possible legal actions.
  • Escalate unresolved cases to the finance or legal team.
  • Record all collection activities accurately in the system.
  • Send monthly and ad‑hoc statements to tenants.
  • Process daily tenant payments and reconcile accounts.
  • Prepare weekly and monthly debtor reports.
  • Assist with legal processes such as summons and eviction notices.
  • Maintain accurate journal entries and correct tenant statements.
  • Support the finance department with bank deposits and mis‑allocations.
  • Collaborate with team members and keep management informed of progress.
  • Stay updated on collection policies, laws, and company procedures.

Performance Measures

  • Maintain arrears at or below 3%.
  • Meet all deadlines.
  • Handle tenant queries efficiently and politely.
  • Achieve 100% accuracy in reconciliation and recovery calculations.
  • Build good working relationships with colleagues and management.

Qualifications

Education: Matric (high school diploma)

Experience: At least 3 years in a property or fund management role.

Required Knowledge

  • Understanding of collection procedures and related laws.
  • Familiarity with company policies, legal terms, Business Rescue, and liquidation.
  • Knowledge of default and enforcement clauses.
  • Ability to interpret lease agreements.

Skills & Abilities

  • Excellent administrative and organisational skills.
  • Strong communication and writing abilities.
  • Proficiency with office software and collection tools.
  • Effective time management.
  • Ability to work well under pressure and independently.
