About the Role
The Debtors Administrator will support the management of our property portfolio by ensuring that all rent and other charges are collected on time. The role involves working closely with tenants, the finance team and external legal services to resolve any payment issues and minimise losses.
Key Responsibilities
- Follow up on overdue accounts by phone, email and letter.
- Discuss payment arrangements and inform tenants of possible legal action.
- Escalate unresolved cases to the finance or legal team.
- Send monthly rent statements and letters of demand on the 3rd of each month.
- Prepare and send summonses and other legal documents when required.
- Record all collection activities accurately in the system.
- Process daily tenant payments and reconcile bank deposits.
- Maintain accurate tenant statements and journal entries.
- Collect and submit monthly turnover figures and annual certificates to accountants.
- Calculate and recover rates, refuse charges and other ad‑hoc recoveries.
- Generate exhibition invoices and reconcile them monthly.
- Keep management informed of progress and any significant risks.
- Assist other team members and attend meetings as needed.
- Maintain a clean, secure and professional work area.

- Arrears KPI: 3%
- Meet all deadlines
- Handle tenant queries efficiently and politely
- Reconciliation turnaround time: 48 hours, 100% accurate
- Rates and refuse recoveries: 100% accurate
- Maintain good working relationships with staff and management
Qualifications
Education: Matric or equivalent
Experience: Minimum 3 years in a property management or related role
Required Knowledge
- Collection procedures and relevant laws
- Company policies, legal terminology, Business Rescue and Liquidation
- Default and enforcement clauses
- Lease interpretation
Skills & Abilities
- Excellent administrative skills
- Strong organisational and coordination abilities
- Clear communication and good grammar
- Proficient with office equipment and computer applications

- Ability to work well under pressure and independently
