Job Overview

Provide efficient and effective administrative support to the Senior Vice President of Corporate Services and the leadership team. Assist with day‑to‑day tasks and specialist projects, ensuring smooth operation of the Corporate Services office.

Key Responsibilities

  • Record and filter messages and queries for the leadership team.
  • Prepare documentation, notes, and presentations on behalf of the SVP and other leaders.
  • Create mail merge correspondence and labels from multiple databases.
  • Maintain and improve the electronic filing system.
  • Ensure document security in line with the Data Protection Act.
  • Respond to information requests and support inspections, audits, and surveys.
  • Assist in policy development and implementation.
  • Coordinate health and safety matters with team members.
  • Maintain records of job descriptions for Corporate Services staff.
  • Support governance and Business Management System record keeping.
  • Process payments, expense claims, travel, and accommodation for the department.
  • Organise meetings and events for Corporate Services.

Minimum Requirements

  • National Certificate in Secretarial/Administration (minimum).
  • National Diploma or Degree in a related business subject (advantage).
  • 2–3 years of proven experience in an administrative role.
  • Basic understanding of company policies.
  • Highly proficient in Microsoft Office.
  • Willingness to work long hours, including after hours.
  • Valid driver’s licence and readiness to travel when required.
  • Flexibility to work across Corporate Services disciplines.
  • Basic knowledge of the purchasing order process.
