Department Overview
The Services Support team is part of the International Motorola Solutions Business Operation Team covering the EMEA region. We provide internal support to our Managed & Support Services Organisation and to our customers.
Job Description
As a Service Support Officer, you will support the local team and the broader service team. You will handle a wide range of tasks to keep our offices running smoothly across EMEA. The role requires an energetic professional who can manage multiple responsibilities and support a diverse group of people.
Key Responsibilities
- Executive administrative support
- Project reporting and updates
- Team meeting and event coordination
- Coordination with Accounts teams (Project Accounting, Accounts Payables, Accounts Receivables)
- Procurement for projects and non‑project equipment and services (processing purchase orders and invoices, including 3rd‑party vendors and OMAR)
- Compilation of weekly project reports
- Collaboration with other services teams and contract team on renewals
- Oracle Project Management (OPM) project and resource set‑up and reporting
- Owner/creator of new processes (e.g., S&S Projects, Google Forms, documentation)
- Assistance with billing: preparing and sending invoices, maintaining client databases, tracking accounts, overseeing invoice workflow, and distributing orders and internal documents
- Coordination of special requirements for new personnel (office accommodation, computer systems, office and mobile phones, induction training)
- Country support and support on specific customer contracts
- Preparation of presentation materials, proposals, quotations, tender documents, agreements, and general correspondence
Desirable
- Bachelor’s degree in any discipline
- Tertiary qualifications in secretarial and/or office administration
Essential
- 1–3+ years of experience in a supporting role within a project delivery environment for a service provider or corporate sector
- Strong executive administrative support skills
- Experience assisting Project Managers
- Document management and control
- Preparation of project status reports
- Taking and preparing meeting minutes
- Proficiency in MS Office and Google Suite
- Excellent keyboard skills, English grammar, syntax, composition, and spelling
