Job Purpose

To archive all business records in hardcopy format across all SAMSA offices and capture the information in an electronic system (SharePoint/EDRMS).

Key Responsibilities

  • Retrieve, verify, and sort files into various business categories in numerical order.
  • Retrieve files from the filing room or storeroom.
  • Verify file content against the details provided.
  • Separate file content into STCW and FISHING qualifications.
  • Sort vessel files, survey reports, and other files that need to be archived.
  • Sort all Corporate Services files (Finance, SCM, HR, etc.).
  • Arrange files in numerical order.
  • Capture the file number.
  • Label boxes.
  • Back‑scan files into SharePoint/EDRMS.
  • Scan files into a shared folder.
  • Perform basic indexing.
  • Oversee the filing room.
  • Dispatch records.
  • Organise disposal of records in accordance with the approved File Plan.
  • Distribute the file index of documents regionally.
  • Assist with the implementation of document tracking in the region.
  • Provide monthly and quarterly reports.
  • Provide system‑generated reports monthly and quarterly.
  • Assist with ad‑hoc office administration.

Qualifications

• Entry level position. No prior experience required, but strong organisational skills and attention to detail are essential.

• Basic computer literacy and familiarity with Microsoft Office and SharePoint preferred.

• Ability to work independently and as part of a team.
