Job Purpose
To archive all business records in hardcopy format across all SAMSA offices and capture the information in an electronic system (SharePoint/EDRMS).
Key Responsibilities
- Retrieve, verify, and sort files into various business categories in numerical order.
- Retrieve files from the filing room or storeroom.
- Verify file content against the details provided.
- Separate file content into STCW and FISHING qualifications.
- Sort vessel files, survey reports, and other files that need to be archived.
- Sort all Corporate Services files (Finance, SCM, HR, etc.).
- Arrange files in numerical order.
- Capture the file number.
- Label boxes.
- Back‑scan files into SharePoint/EDRMS.
- Scan files into a shared folder.
- Perform basic indexing.
- Oversee the filing room.
- Dispatch records.
- Organise disposal of records in accordance with the approved File Plan.
- Distribute the file index of documents regionally.
- Assist with the implementation of document tracking in the region.
- Provide monthly and quarterly reports.
- Provide system‑generated reports monthly and quarterly.
- Assist with ad‑hoc office administration.
Qualifications
• Entry level position. No prior experience required, but strong organisational skills and attention to detail are essential.
• Basic computer literacy and familiarity with Microsoft Office and SharePoint preferred.
• Ability to work independently and as part of a team.
