Rental Admin Assistant (Cape Town)

As a Rental Admin Assistant, you will ensure that all tenant and owner files are complete, accurately named, and properly stored in shared drives and systems. You will handle vetting workflows and keep onboarding and rental administration data up to date.

To qualify for this position, you need:

  • Matric certificate.
  • At least 2 years of experience in a similar role.
  • Experience in property administration.
  • Familiarity with PayProp, TPN, and RentGuard systems.

Duties and Responsibilities:

Applications & Vetting:

  • Receive, review, and sort tenant applications (including signed forms, IDs, bank statements, payslips, proof of address, and SARS number).
  • Conduct TPN checks and complete the RentGuard checklist.
  • Submit applications for rental insurance and follow up on results.
  • Highlight declined or high-risk applications to management with a brief risk summary.

Document Control:

  • Save and name all tenant and owner documents correctly.
  • Keep folder structures organized and accurate.
  • Upload required documents to PayProp and the internal shared drive.

Data Capture:

  • Update the onboarding sheet with registrations, tenant details, unit numbers, contact information, and lease start and end dates.

Inbox & Follow-ups:

  • Monitor the onboarding inbox for new applications and owner documents.
  • Send reminders for any missing items.
  • Schedule and record all follow-up actions.

Communications & Reporting:

  • Send welcome packs to new tenants, including forms and contact details.
  • Prepare and update weekly onboarding progress reports, covering registered units, tenanted properties, pending items, and arrears or missing documentation.
