Senior Administrative Officer: Supply Chain Management (LOGIS Support – Development and Implementation Project of Inventory/Consumables) (3-Year Contract)

Minimum Educational Qualification:
- An appropriate three-year National Diploma or Degree.
Experience:
- Relevant experience in the Supply Chain Management system LOGIS, with a focus on inventory, consumables, and warehousing. Appropriate experience with LOGIS.
Competencies (Knowledge/Skills):
- Computer literacy, especially in Word and Excel.
- Data analysis and reporting.
- Organizing skills.
- Knowledge of procurement systems, including LOGIS.
- Understanding of LOGIS inventory and stores functions.
- Familiarity with the department’s procurement rules.
- High accuracy in data entry and recording.
- Teamwork and project management.
- System implementation skills.
- Strong human relations and telephone etiquette.
Duties (Key Result Areas/Outputs):
- Coordinate the implementation of inventory and consumable applications and dashboards across institutions. Help align business processes, support solution design, testing, and launch. Represent user needs in system design and improvements. Host meetings and feedback sessions to capture requirements accurately.
- Assist the Business Intelligence team in creating technical specifications for dashboards and applications. Provide system training, create training materials, quick guides, and FAQs. Promote system use through on-site and online sessions.
- Manage and track implementation plans for departmental systems and projects to meet deadlines. Hold alignment and feedback meetings with institutions. Document challenges and escalate them as needed.
- Gather feedback from facilities to improve systems and processes. Log, track, and resolve user issues within set timeframes. Keep records of consultations and decisions. Encourage system use through support sessions, both on-site and virtual.
- Prepare weekly and monthly progress reports with accurate and timely information. Maintain dashboard data and monitor performance to spot issues and take corrective steps. Update and store all project documents, reports, and records securely for audits and governance.
