Job Description:
The Wealth Adviser Assistant supports the team to ensure a smooth and professional experience for clients. This role involves managing the entire client onboarding process, from preparing and collecting documents to verifying and submitting them according to compliance and regulatory standards. The assistant connects the Wealth Manager, clients, and internal teams to deliver timely services. You will need proper authority and a basic level of technical knowledge, along with strong relationship management, secretarial, and administrative skills.
Responsibilities:
New Business Implementation:
- Handle all new business setup, including follow-ups aligned with our stockbroking services. This includes completing and submitting forms, contacting suppliers, and ensuring everything is done on time.
- Track and resolve any pending workflows related to stockbroking services.
- Acknowledge and process new business submissions, manage the onboarding steps like sending welcome messages to clients.
- Check that the implementation meets all compliance and operational standards.
Customer Service:
- Manage client communications as directed by the Adviser, Supervisor, or Paraplanner, delivering them promptly and professionally.
- Keep accurate, up-to-date records of client contacts in the CRM system.
- Ensure client detail updates are shared accurately and quickly with product providers.
- Resolve client concerns efficiently and professionally, acting as a link between clients and service providers. Support inquiries within our service standards and refer complex ones to the right team members. Note: This role does not involve giving financial advice.
- Help maintain client relationships to support retention, following the company’s service approach.
Administration:
- Process payment instructions each day.
- Support transactions as needed, such as opening and closing accounts, loading payment instructions, emailing proof of payment to clients, and handling inquiries.
General Administration:
- Prepare new client files accurately and on time, or assign this to support staff.
- Draft documents and correspondence for the Adviser or team.
- Handle other tasks or ad-hoc duties as assigned by the Adviser or Supervisor to meet business needs.
- Assist with filing and archiving when required.
Minimum Requirements:
- Grade 12
- Diploma in Business Administration or equivalent
- Fluent in spoken and written Afrikaans and English
- Computer literate (MS Office)
