The ideal candidate will have proven experience as an Executive Assistant or Personal Assistant, with strong skills in organization, planning, and prioritization.

Role Overview

The Executive Assistant will provide high-level, confidential support to the Director. This role requires excellent organization, good judgment, proactive problem-solving, and the ability to work independently. You will act as a trusted gatekeeper, coordinator, and operational partner.

Key Responsibilities

  • Manage the executive’s diary and time, including scheduling, prioritizing, and optimizing daily activities.
  • Handle all travel arrangements, from flights and accommodation to visas, itineraries, and documents.
  • Screen, prioritize, and manage incoming communications like emails, messages, and calls, ensuring urgent matters are handled quickly.
  • Serve as a liaison between the Director and internal or external stakeholders.
  • Prepare, draft, proofread, and edit correspondence, reports, presentations, and board documents.
  • Maintain a secure, organized digital filing and document management system.
  • Track and reconcile executive expenses.
  • Coordinate meetings, board sessions, and events, including agendas, venues, logistics, and follow-ups.
  • Handle sensitive and confidential information with complete discretion.
  • Anticipate needs, manage risks, and address potential challenges proactively.
  • Provide administrative and operational support as needed for business and personal matters.

Essential Skills and Qualifications

  • Proven experience as an Executive Assistant or Personal Assistant.
  • Excellent organizational, planning, and prioritization skills.
  • High digital literacy, comfortable with cloud-based platforms, productivity tools, and communication systems.
  • Strong written and verbal communication skills for executive and board levels.
  • Outstanding problem-solving and decision-making abilities.
  • High emotional intelligence, professionalism, and judgment.
  • Ability to work independently on multiple priorities.
  • Flexibility to work remotely and be available when required.
