Job Summary

This role involves managing wills-related administrative tasks in compliance with all regulatory requirements, Absa’s risk management framework, and internal policies. You will handle risks and incidents related to your duties while supporting the Wills Control Centre operations.

Job Description

Data Capturing

  • Receive new and revised wills from delivery services, clients, and accurately capture details into the Absa Trust system to create or update customer records.
  • Process written cancellation requests from customers by updating the system to delete their records.
  • Handle notifications of deceased estates or will cancellations from the National Deceased Estates Department or Government Gazette by removing the relevant records.
  • Migrate old customer records from the legacy Magic database to the new Wills Filing system.
  • Perform identity checks on both systems to identify duplicate wills for the same customer and merge records as needed.

Preparation of Letters

  • Draft standard confirmation letters to customers for will cancellations.
  • Generate automated correspondence to confirm receipt and storage of clients’ wills.
  • Send SMS or email requests for additional information when needed, such as for joint wills requiring dual signatures.
  • Prepare letters to Absa Trust Deceased Estate Branches, attaching original wills if there’s uncertainty about the latest version, to report estates to the Master of the High Court.
  • Draft letters directly to the Master of the High Court with original wills when a more recent version is confirmed.

Customer Service

  • Resolve telephone queries from the Wills Safe Custody helpline and Action Line efficiently and professionally.
  • Communicate with the Master’s Office or attorneys by phone to verify original will dates and determine Absa Trust’s role as executor.

Compliance to Legislative Requirements

  • Complete all mandatory compliance and legislation training on time as required by Absa Risk.
  • Stay updated on the Wills Act through self-study.
  • Follow Absa’s policies on environmental health and safety, information security, records management, money laundering, and sanctions. Non-compliance may result in disciplinary action.
  • Support governance activities, including tracking and reporting on objectives and team development.

Education and Experience Required

  • Grade 12 or equivalent NQF qualification
  • 1 year of experience in an administrative role
  • 1 year of fiduciary experience is preferred

Education

  • Bachelor’s Degree or Advanced Diploma in Business, Commerce, and Management Studies (Required)
